The Small Shepherds Club is a non profit making self help group promoting good sheep husbandry among small flock owners predominantly in the South East of England. We are committed to safeguarding and preserving the privacy of our members and visitors to our website.
This privacy policy sets out how the Small Shepherds Club collects and uses the personal data we collect from our members and website visitors. It includes data that we hold on paper and electronically. The Small Shepherds Club is the ’controller’ of the personal data you provide to us.
We may change this policy from time to time by updating this page.
What information do we collect?
When you join the Small Shepherds Club or renew your membership we collect the following the personal information about you - your contact details (name, address, phone number, email address) payment method and flock details. We sometimes use public domain information such as the Royal Mail Address Finder or BT Phonebook to verify incomplete or illegible addresses and phone numbers.
In addition to your contact details we also collect your Holding Number when you enter the Small Shepherds Club Show.
We take photos and videos which may include Club members at our events. Please advise the event organiser if you do not want to be included in photos or videos.
How do we use this information?
We use this information to
- manage your membership of the Club
- notify you of Club activities and other training opportunities
- organise Club events
- keep you up to date with news relevant to keeping a small flock of sheep
- calculate the average flock size, the range of breeds kept and the total number of sheep in the Club
- produce a member directory
- produce publicity material
Legal basis for processing
The legal basis for the majority of the processing of the data we hold on you is ‘legitimate interest’.
We seek consent to include members and their flock(s) in the Member Directory. Members can withdraw their consent at any time by emailing / phoning / writing to the Membership Secretary or updating their membership record online.
Updating your information
You can edit your membership record online or contact the the Membership Secretary at anytime by email, phone or letter to update your details (see How to contact us below).
Sharing your information
Only current Club Committee members can access the full set of personal data we hold about a members. Club Members who have opted for inclusion in the Member Directory will be able to view limited contact details (name, phone, email .town and county) and flock details (breeds kept) of other members in the Directory. We will not give a member’s details to another member without permission.
For members who enter the Club Show we send return movement data (which includes contact details and Holding Number) to the Animal Reporting and Movement Service. This is a legal requirement.
We use third party service providers to process and store your data. These are
- Google Contacts and Gmail (https://policies.google.com/privacy) to send email messages
- Mailchimp (https://mailchimp.com/legal/privacy/) to send email messages
- Membermojo (https://membermojo.co.uk/mm/help/privacy) to manage your membership details and send email messages
- Stripe (https://stripe.com/gb/privacy) to process card payments
Google Contacts, Gmail, Mailchimp and Stripe may transfer your data outside the EU. Membership Mojo is UK based. See their privacy policies for more information.
Beyond that we do not share, trade or sell members’ details to any third party.
How long do we keep your information?
We keep your personal information whilst you are a member of the Club. We delete your personal information if you have not renewed your membership for two years or sooner if requested.
Our website and cookies
We use Cookies on our website. These are small files placed on your computer if you agree. Aside from essential cookies, we use Google Analytics to help us understand our visitors and the content they are viewing so we can improve our website.

Your rights
You can request a copy of the personal information we hold about you and ask us to update or amend remove any information you think is wrong. You can cancel your membership at anytime and ask for you personal information to be deleted.
